Privacy Policy

This policy explains what personal and device data CBC Dispatch collects, why we collect it, who we share it with, and the choices you have. It covers our web application at cbcdispatch.com and our Android and iOS apps.

Who we are

CBC Dispatch is a final-mile delivery management platform operated by [LEGAL ENTITY NAME] ([BUSINESS MAILING ADDRESS]). You can reach us about anything in this policy at support@cbcdispatch.com.

CBC Dispatch is used both by our own delivery operation and by other delivery companies who license the platform. When another company uses CBC Dispatch to manage its deliveries, that company decides what data is collected and why, and we process that data on its behalf under its instructions. Questions about a specific delivery should go to the company handling it; we will forward requests we cannot answer.

Data we collect

Account information. Your name, email address, phone number, assigned role, and the company you belong to. We use this to sign you in and to decide what you are permitted to see.

Delivery information. Recipient names, delivery and pickup addresses, phone numbers, email addresses, items being delivered, appointment windows, delivery notes, and service charges. This is the core record we need in order to schedule, route, and complete a delivery.

Precise location, from drivers only. When a driver updates the status of a stop in the app, we request the device's GPS coordinates and accuracy at that moment and attach them to the delivery event. We use this to show recipients an accurate live map and estimated arrival time, and to confirm where a delivery was completed. Location is requested only at the moment of a status update, never continuously and never in the background. If a driver declines the permission or no GPS fix is available, the status update still goes through without coordinates. We do not collect location from recipients or office users.

Photos and camera. The app opens your device camera or photo library so drivers and warehouse staff can capture proof of delivery, pre-delivery inspections, damage and repair documentation, warehouse receiving records, and evidence supporting additional charges. We access the camera only when you tap a capture control, and we upload only the images you select or take.

Calls, voicemail, and messages. We send delivery notifications by SMS and email. Calls to our dispatch line may be answered by an automated menu, and voicemail messages are recorded, stored, and transcribed so we can respond. Standard carrier message and data rates apply. You can stop delivery text messages at any time by replying STOP.

Usage and device data. Ordinary technical records such as IP address, browser or app version, and timestamps of actions taken in the app. We keep an audit trail of who changed a delivery record and when.

We do not collect biometric data, contacts, calendars, health data, or advertising identifiers, and the app contains no advertising or third-party analytics trackers.

How we use it

We use this data to schedule and route deliveries, dispatch drivers, keep recipients informed about arrival times, prove that a delivery took place and in what condition, manage warehouse inventory and returns, produce invoices and operational reports, secure accounts and investigate misuse, and meet legal, tax, and insurance obligations.

We do not sell personal information, and we do not share it with advertisers or data brokers. We do not use your data to train advertising or profiling models.

Who we share it with

We share data only with service providers who process it on our behalf, and only as far as they need it to do their job. These include our application and database hosting provider, our communications provider for SMS, voice, and voicemail, our cloud storage provider for delivery photographs, and mapping and routing services.

We also exchange delivery information with the freight client, retailer, or broker that tendered the shipment, because they need status and proof of delivery for their own records.

We may disclose data if required by law, to enforce our terms, or to protect the rights and safety of people involved. If our business is sold or merged, data may transfer as part of that transaction, and we will say so before it takes effect.

How long we keep it

We keep delivery records, proof of delivery, and inspection photos for as long as we need them to support the delivery, resolve claims and disputes, and satisfy tax and insurance requirements. Financial records are generally retained for seven years. Account records are kept while your account is active. Location coordinates are kept as part of the delivery event record for the life of that record.

How we protect it

Data is encrypted in transit. Access is restricted by role and enforced on our servers rather than only in the app, so users see only the records their role and company permit. Access to production data is limited to staff who need it. No system is perfectly secure, but we take these obligations seriously and review them regularly.

Your choices and rights

You can decline or later revoke the location and camera permissions in your device settings; the app remains usable, though drivers who decline cannot provide live tracking or capture proof of delivery. You can opt out of delivery text messages by replying STOP.

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Depending on where you live, you may have additional rights under laws such as the California Consumer Privacy Act or the GDPR, including the right not to be discriminated against for exercising them. Email support@cbcdispatch.com and we will respond within the timeframe the applicable law requires. Note that we may need to keep some records to meet legal obligations even after a deletion request, and that where we process data for another delivery company we will pass your request to them.

To delete your account and the personal information attached to it, use our account deletion request page. It explains exactly what is removed, what we are required to keep, and how long the process takes. You do not need an account to submit a request.

Children

CBC Dispatch is a tool for business operations and is not directed at children. We do not knowingly collect personal information from anyone under 13. If you believe a child has provided us information, contact us and we will delete it.

Changes to this policy

If we make material changes we will update the date at the top of this page and, where the change is significant, notify account holders directly. Continuing to use CBC Dispatch after a change means you accept the updated policy.
